Part-Time Event Associate (20 hours per week)
The Cincinnati Art Museum has an immediate opening for a Part Time Event Associate in the Institutional Advancement division.
Responsibilities:
The Part-Time Event Associate is responsible for independently designing, planning, managing and producing member related events, including receptions, dinners, lunches, and lectures to help cultivate, solicit, and steward existing and prospective donors. Working under the supervision of the Event Manager, the position works closely with volunteer leadership and staff to execute such events. In addition, the position is responsible for developing successful relationships with vendors, both internal and external, to ensure that events are cost efficient and within budget. In addition, the position manages the activities and record keeping related to the museum's various volunteer groups. This position will require flexible time throughout the week and weekends, depending on the event schedule. Other duties as assigned by the Events Manager.
Requirements:
A four-year college degree minimum and experience and/or training in income-producing events; or the equivalent combination of education and experience. Qualified candidates will have at least one-year experience in assisting, planning, and executing successful events.
Skills necessary: A proven ability to work successfully with others to achieve institutional objectives. Must be able to create and manage events that produce significant income and must have outstanding relationship building abilities. Must possess excellent written and oral communication skills, and a good working knowledge of word processing, and other relevant computer programs. Must be proficient in designing and administering budgets. Must possess the ability to present information effectively and respond to questions from volunteers, Art Museum staff, donors, members of the Art Museum, and the general public. The Events Associate must be extremely proactive and self-motivated to achieve department and institutional goals. Evenings and weekends are required.
Essential Duties and Responsibilities
A. Independently designs, plans, manages and produces member related events for the Art Museum as assigned. This includes preparing and executing monthly mailings, serving as a primary liaison to the Volunteer Advisory Council and volunteer associations.
B. Manages all administrative aspects of volunteer organizations and special events, including financial report preparation, renewal reports, registration forms, printing, stuffing and
mailing, event registration lists, phone reservations and fielding volunteer questions pertaining to events. Position is also responsible for event management in The Raiser's Edge.
C. Independently creates new special events as needed which will support stewardship and income needs for the Art Museum, and oversees volunteer committees organizing such events.
D. Manages volunteer and staffing needs for events, including assignments and training for events.
E. Coordinates post event reporting, recognition, budgeting evaluation and future event recommendations.
F. Manages the Volunteer income and expense budgets
